My Details
In the My Details tile you will find the personal details that La Trobe University has recorded for you.
Your name, as it appears in 'Given Name', 'Middle Name/s', and 'Family Name', is how your name will appear on all official documentation including your Testamur (degree certificate).
If any of these details are incorrect or have changed, follow the instructions in the FAQ: Updating your details in StudentOnLine. Any change or correction of name must be supported by original or certified documentation.
Below you can view detailed information for each section in the My Details tile.
In the Contacts menu item within 'My Details' you will find the contact details that La Trobe University has recorded for you, including:
You can add new contact information for yourself, a guardian, a nominated contact, your next of kin or an emergency contact by clicking the + Add button. Ensure you click Save once you've entered the information.
Addresses
You can:
- view your addresses
- add an address
- change your addresses
- change your preferred mailing address.
To add a new address complete the steps below:
- Select the + Add button.
- Select the Type from the drop-down menu.
- Select the country from the Country drop-down menu.
- Enter your address details in the Find Address field. If your address isn't found, and you've checked it's spelled correctly, you can enter it manually in the Address Line fields.
- Tick the Preferred box under the address fields if you'd like this address to be your Preferred address.
- Select Save.
If you wish to change your address, select the Edit button for the address you want to change and then follow the above steps for adding a new address..
To change your preferred mailing address select the address you wish to nominate and then select the Preferred checkbox.
Types of address explained
- Semester/Term
- Your address during semester
- Home
- Your address during non-semester periods
- Postal
- If you wish to have correspondence sent to another address that is not your Home or Semester/Term address, you should enter this address as your Postal address and make this your preferred mailing address.
- Next of Kin
- Address for your closest living relative
- Guardian
- Address for your guardian
Phone Numbers
Phone Numbers appear as the University has recorded them for you, including, term phone, home phone, day phone (for APESMA students only) and mobile phone numbers.
To add a new phone number complete the steps below:
- Select the + Add button.
- Select the type of phone number you wish to add from the drop-down list.
- Type in the phone number and a comment if required. You only need to provide a phone comment if you wish to advise the University of the most appropriate time to contact you via this number.
- If you want this to be your preferred voicemail or SMS number, tick the corresponding box.
- Select Save. You will see a green 'Saved' message indicating that your action has been successful.
If you wish to change a number complete the steps below:
- Select the Edit button for the phone number you want to change.
- Change your details following the steps for adding a new number above.
You can deactivate a phone number by selecting the curved arrow icon to the right of the Edit button for the relevant phone number.
Email Addresses
You will not be able to change your La Trobe University email address or select a different Preferred Email Address type. The University will send all electronic mail (email) for official correspondence to your La Trobe email address. It is your responsibility to ensure that you either check this address regularly, or set up a forwarding arrangement.
To add a personal email address complete the steps below:
- Click the + Add button.
- Select Add email.
- Select the Email Type from the dropdown menu.
- Enter your new email address.
- Select Save. You will see a green 'Saved' message indicating that your action has been successful.
You must provide details for an emergency contact. To add these details complete the below steps:
- Click the +Add button.
- Select Add other contact.
- Select Emergency Contact from the Contact Type dropdown menu -
- Complete your emergency contact details, including their relationship to you and their address.
- Select Save. You will see a green 'Success' message indicating that your action has been successful.
Summary
Here you will see the citizenship, cultural, disability, residency and USI details that La Trobe University has recorded for you.
The first time you enrol in subjects you will be directed to this page and asked to confirm that these details are correct. You can do this by clicking on the link 'Confirm'.
You will be asked to re-confirm these details every 200 days to ensure that the information that La Trobe University has recorded for you is accurate and up to date.
National and Cultural Details
Here you will see the cultural details that La Trobe University has recorded for you.
The first time you enrol in subjects you will be asked to confirm that these details are correct. You can do this by clicking on the link 'Confirm'.
If your 'Main Language Spoken at Permanent Home Residence', or 'Aboriginal or Torres Strait Islander' details are incorrect, you can change them by selecting a different option from the drop-down lists. Select Save. You will see a green 'Saved' message indicating that your action has been successful.
If any of the Nationality details are incorrect, or have changed, follow the instructions in the Change of residency/citizenship FAQ.
When making changes to your citizenship or residency status, you will be asked to supply proof. If you are changing your citizenship you will need to supply a certified copy of your citizenship certificate. If you are changing residency, you will need to supply a certified copy of your passport including the page that contains your visa information.
You may be asked to re-confirm these details every 200 days to ensure that the information that La Trobe University has recorded for you is accurate and up to date.
Disability
The first time you enrol in subjects you will be asked to confirm that these details are correct. You can do this by clicking on the link 'Confirm'.
If your details have changed, you can change your response in the 'Disability, impairment or long term medical condition' drop-down list.
- Choose 'Yes' or 'No' from the drop-down list.
- If you choose 'No', select Save. You will see a green 'Success' message indicating that your action has been successful.
- If you choose 'Yes' you will be asked to indicate by ticking a box which disability applies to you. You can make multiple selections if appropriate. You will also be asked to answer a question about receiving information regarding disability support services by choosing 'Yes' or 'No' from a drop-down list.
- When you have made your choices select Save. You will see a green 'Saved' message indicating that your action has been successful.
You may be asked to re-confirm these details every 200 days to ensure that the information that La Trobe University has recorded for you is accurate and up to date.
Educational Background
The Educational Background page is accessed from its menu item within the My Details tile. Here you will see the educational background details that La Trobe University recorded for you at the commencement of your course. You do not need to update these details as you progress through your course.
If the details captured are not correct for the time at which you commenced your course, follow the instructions in the 'Education details for enrolment' FAQ.
The possible values that may be recorded for your Highest Level of Participation are as follows:

Parent/Guardian Education
Here you will see the parent/guardian education details that La Trobe University has recorded for you.
If any of these details are incorrect, follow the instructions in the 'Education details for enrolment' FAQ. Please note that if you have more than two parents/guardians you are only required to enter details for two of your parents/guardians.
Communication
Here you can view a list of the existing Student System issued documents that have been created and sent to you by La Trobe University.
Some documents will be available to view again. Clicking the View button will display the filename and Date of the attachment. You must then click on the link under Attachments to open or save the file. If you do not enter any search criteria all documents will be listed
Sanctions
A sanction is a penalty recorded against your enrolment. There are two types of sanctions: Academic – for unsatisfactory academic progress and Administrative – for failure to comply with certain administrative requirements (e.g. non-payment of fees).
On this page you will see any sanctions that have been recorded against your enrolment. If you have no sanctions recorded against your enrolment you will see a green notification box displaying '0 Sanctions' under the 'Sanctions' menu item, as well as a message on the page stating 'No records found.'
Different types of sanctions will have different consequences for your enrolment. For details on removing any sanctions on your enrolment, please contact ASK La Trobe.
Policies
Policies that you have agreed to are listed on this page.
Select View to see the policy in detail.
If a policy has been revised since you agreed to it, you will see 'OUTDATED POLICY' highlighted in yellow. You will also see an alert when you click the View button, informing you that the version you're viewing is outdated.
My Study
On the My Study tile you can:
- view your study plan details
- view your current enrolment
- enrol in subjects
- withdraw from subjects
Please note, it is your responsibility to monitor your enrolment requirements. For course advice please contact your course adviser.
The My Study tile displays your Academic History at La Trobe University with a breakdown of subjects and their current status (e.g Unscheduled, Approved, Enrolled, Not enrolled etc.).
You can manage each course individually by selecting the Manage my course button under each course heading. You can view subjects, select Majors; Minors or Specialisations and Electives (where required). Further information about these are available in the Handbook for your enrolment year. You can also access Plan and Enrol to enrol in subjects.
You can also click directly on the course you wish to manage from the list on the My Study tile on your dashboard.
After selecting your course, the side menu will also give you links to a course overview, reports, Government assistance, and how to withdraw from a subject

Manage My Course
This page will show you the structure of your course/s and also has links to Plan a Study Period. An overview video of the structure of this page will help you if you're not sure how to proceed.
To view further details about any of your courses, choose the Overview link in the left-hand menu. You can then view the structure of this course.
Plan and Enrol
A video walkthrough of the plan and enrol process will help you if you're not sure how to proceed or get stuck.
Core and planned unit enrolment
- On the Plan and Enrol page you will see an Unscheduled column with core and/or elective subjects. Unscheduled refers to subjects that need to be assigned to a study period. Please note that this is different to timetabling. If you want to see the subject requirements and when it is available, you can select Click for details. This will provide further information about the subject and display subject availabilities.
- Click the blue Schedule at the bottom of a subject tile or the Plan a study period button at the top of the page.
- Select the Year and Study Period. The Study Period Date will populate automatically. Click the Next button.
- All Subjects with a confirmed study period for the selected Study Period will appear on the screen. Click the View button to view Subject details.
- Use the tick boxes to add subjects to the Study Period. (Maximum of 6 per study period)
- When you have added all the subjects to the study period/s you want to enrol into, select the Finish button to return to the Plan and Enrol page.
- The scheduled subjects now appear in a separate Study Period column with the status of NOT ENROLLED.
Select the Enrol button at the top of the Study Period column; you will be presented with a summary of the subjects you are about to enrol in. Select the Confirm button to confirm your enrolment.
Any subjects you've selected should now show the status of 'ENROLLED' in the Study Period column.
NOTE: You will be unable to enrol in subjects if you still have outstanding pre-enrolment tasks.
If you are having difficulties enrolling in a subject, and you've completed all pre-enrolment tasks, please contact ASK La Trobe.
To choose and enrol in an option
An option line contains choices that you must make to satisfy your course requirements.
- If you have options available for enrolment, they will be listed on the Manage My Course page with a 'Selection Required' alert underneath them.
- Where you need to make a selection, click the Select button on the right-hand side.
- When you click the Select button you will see the subjects you can choose from. To search the options, you can scroll down the list or type in the search field.
- Click Add to plan then Confirm.
Please note, you are not enrolled in the subject yet
HINT: If a unit has a prerequisite you will need to successfully complete that before you can enrol in the unit. If the unit has a co-requisite, you will need to enrol in that unit as well.
HINT: If you cannot proceed with an action check to see if you have an error message.

Withdraw from subjects
A video walkthrough of the withdrawal process will help you if you're not sure how to proceed or get stuck.
Please note: before you withdraw from a subject, it is important you consult with a course adviser and be aware of the census date and the KN grade date. International students should consult with La Trobe International before withdrawing from any units.
- Select Manage my course from your Academic History, or click directly on the course from the list in the My Study tile on your dashboard.
- Select the Withdraw From a Subject from the left-hand menu.
- You will be taken to a page listing all of the currently enrolled subjects for the course you selected.
- You will be taken to a page that will list all the units you are currently enrolled in.
- Select the subject/s from which you want to withdraw using the tick boxes.
- Select confirm
HINT: If a unit you plan to withdraw from is a prerequisite to another unit, you will also need to withdraw from the other unit.
HINT: If you cannot proceed with an action check to see if you have an error message.

My Finances
On the My Finances tile you can:
- view your financial transactions
- make a payment
- generate a Statement of Account
- provide bank details if you are receiving scholarship payments or a refund from the University
Below you can view detailed information for each section in the My Finances tile.
Transactions
The Transactions page can be accessed from the left-hand menu. Here you can view your financial transaction details.
You can filter transactions by open or closed, or search all transactions by name, year, amount or subject name or code.
If you would like a new Statement of Account select the generate a Statement of Account link in the notification box at the top of the page, then the Request button in the Statement of Account section. Your current Statement of Account will be emailed to your student email account.
Payment Portal
If you wish to make a payment, select the Payment Portal link in the notification box at the top of the page. A new page will open up and you can use your credit card to make a payment to the University for your fees.
Please note, it will take approximately 5 working days for any payments made using the payment portal to appear on your Statement of Account and on your Financial Transaction screen.
My Overview
The My Overview tile provides the following summaries:
- Your coursework
- Research
- Applications
- Finances
- Agreements
- Scholarships
- Exams
- Forms you've submitted
Some of these summaries may have no content if they're not applicable to you. If you have any questions about your summaries, please contact ASK La Trobe.
