Responsibilities of Executive Officers

The Executive Officer (the person designated to provide secretarial support to the committee) is responsible for the efficient operations of the committee. In the discharge of their responsibilities, they are expected to:

  • Prepare and circulate agendum and papers;
  • Record the business and outcomes of the meetings and include in Academic Board, Council or Planning and Resources Committee reports, as applicable;
  • Maintain the UNITE or associated intranet sites;
  • Ensure appropriate communications with the Chair, members of the committee and other bodies, including the Academic Board, Council and the Senior Executive Group;
  • Follow up on actions arising from meetings and ensure that all files pertaining to the committee are registered appropriately in the University’s central records management, TRIM;
  • Provide timely advice on policies relevant to the committees’ Terms of Reference and general governance operations;
  • Prepare appropriate briefings for the Chairs of Committees.
