1. I do not know my password
Your password appears on your very first Statement of Account. Check the top of page one of your Statement of Account for your password.
2. I changed my password and cannot remember it
If you have changed your password and now cannot remember your new password, please contact Student IT Support (SITS) on 1300 786 535. Student IT Support is available from 9.00 a.m. to 5.00 p.m. Monday to Friday.
Student IT Support is closed on public and University holidays. A new password may not be immediately available and there may be a charge involved.
3. The system is asking me to confirm my details.
The first time you log on to StudentOnLine to vary your enrolment you will be asked to confirm that the details La Trobe University has recorded for you are correct. You will be asked to re-confirm these details every 200 days so that the University can be sure that none of your details have changed.
Once you have checked that the details are correct, you should click on the button to confirm your details. If your details are not correct, you should make the necessary changes before confirming the details.
4. What is address verification? What if I cannot verify my address?
StudentOnLine uses the Australia Post Quick Address System (QAS) to ensure that all addresses within Australia are correct. When you enter an address in Australia the system will check that address against QAS and provide you with an exact match, or if the address is not registered or correct the system will provide you with what it believes to be relevant matches. If your address is a new address it may not be registered in QAS and you will be unable to update it in StudentOnLine, you can fill in an 'Amendment to personal details form [PDF 605KB]' and hand this in to your local Student Administration Office and the address will be entered for you. If you live in an on campus residential college, you will not be able to verify your address. You will need to complete the 'Amendment to personal details' form to have your address updated.
Note: if you are not an international student, but enter an international address, you may encounter an error message. This message is merely a warning; your changes can still be saved. You can verify that your changes have been saved by checking the 'My Contact Details' screen. If you cannot update your address for any reason, you can complete the 'Amendment to personal details' form, and your local Student Administration Office will update your details for you. International students must have in international home address.
5. What if my home address is overseas? What if I am going on a temporary placement overseas and want to update my temporary preferred address?
If your home address is overseas, or for some reason you wish to have a temporary preferred address at an overseas location, you will be able to update your address in StudentOnLine. When entering your address do not use the State and Postcode fields. Enter your address in the first four fields and the country field. The address will not be verified by Australia Post, but you will be able to save it.
6. StudentOnLine says that I have a sanction. What should I do?
A sanction is a penalty recorded against your enrolment. There are two types of sanctions: Academic – for unsatisfactory academic progress and Administrative – for failure to comply with certain administrative requirements (e.g. non-payment of fees).
If you have a sanction against your enrolment, you should contact your local Student Administration Office and ask what action you need to undertake to have the sanction lifted.
7. I have encountered an error when searching in 'My Documents'.
If you have already searched for a document in 'My Documents' successfully, but would like to do another search and you encounter an error message, you will need to log out and log back in to StudentOnLine. Errors may occur when appropriate start and end dates are not used.
8. I cannot find my WAM anywhere?
Your Weighted Average Mark (WAM) does not appear in StudentOnLine. If you would like to know your WAM you can go to 'My Results and Graduations' and click on the 'My results' link in the menu. On this page you can view all your results and also have an unofficial academic transcript emailed to your La Trobe student email address. This unofficial academic transcript will contain your WAM.
9. Is there another WAM other than the course WAM (Weighted Average Mark)?
Yes. A WAM can be calculated for a specific period of time within your course. For example - the Conceded Pass WAM is calculated in six month blocks across the duration of your studies and is used to assess whether you are eligible for a Conceded Pass in a unit/subject according to the University's Policy/Procedures. The Conceded Passes Policy and Procedures can be found on the Policy Website under 'C'.
10. What is the formula used for the course WAM (Weighted Average Mark) calculation?
The course Weighted Average Mark (WAM) is equal to the Sum of the (Mark achieved for the unit/subject multiplied by the credit points for the unit/subject) in the course divided by the Sum of the total credit points of the units/subjects included in calculation.
In formula - Weighted Average Mark (WAM) = ∑ (Mark achieved X credit points for the unit/subject) / ∑ (Total credit points of units/subjects included in calculation).
For example: Student receives the following results:

WAM: = (15 X 67) + (30 X 91) + (15 X 0) + (15 X 45) / (15 + 30 + 15 + 15)
= (1005 + 2730 + 0 + 675) / 75
= 4410 / 75
= 58.8
Please note: 1/ Grades such as NS and KN grades will have the default mark of 0 (Zero) assigned to represent an academic penalty.
2/ Pass and Fail grades with a mark are included in the calculation.
3/ Every attempt of a specific unit/subject is included in the calculation.
4/ A WAM cannot be calculated if there is an incomplete grade against the unit/subject (e.g. ‘W’ or ‘**’)
11. When will my graduation ceremony be posted in StudentOnLine?
If you have not yet qualified for an award, or if a ceremony has not yet been allocated for your award you will see a message in the 'My Graduation' section that states 'you have not been granted any awards with an upcoming graduation ceremony'.
If you complete the requirements for your course in semester two, you will be advised of your ceremony details in January of the following year. If you complete the requirements for your course in semester one, you will be advised of your ceremony details early in semester two of the same year.
12. Can I still re-enrol if I have not made satisfactory academic progress?
You will need to explain why you should be allowed to re-enrol. We will email or write to you with details about what you need to do. Read:
13. Can I undertake a subject at another institution and have it credited towards my La Trobe degree?
Yes. To do this:
- Fill in an application form for cross-institution course enrolment (from your faculty office or Student Administration Office).
- Have it approved by both institutions.
- Lodge it at your Student Administration Office.
If approved, you must enrol at the other institution. You will have a Tuition Fee and Student Services and Amenities Fee liability for the subject from that institution. If you withdraw from the subject you must tell both institutions.
14. What is advanced standing?
Credit granted for previous studies or work experience. Faculties have different policies for giving credit.
15. How do I apply for advanced standing?
Lodge an Application for Advanced Standing Form [PDF 1.8MB] and required documents with your faculty office before the start of the teaching period.
16. I am having trouble re-enrolling, what should I do?
If you are having difficulty re-enrolling you should contact your faculty course adviser for assistance.
17. I think my course structure is incorrect, what should I do?
If you do not believe the course structure in StudentOnLine is accurate, you should contact your faculty course adviser immediately.
18. What is 'Subsumed Funded EFTSL' and 'Course to Date Non-RTS EFTSL? - Research Students only
The Subsumed Funded EFTSL column refers to the amount of EFTSL that has been subsumed by a coursework unit under a research course. That is, if a student is doing a coursework unit and a time based unit, the coursework unit may be subsuming part of the RTS EFTSL.
The Course to Date Non-RTS EFTSL is the course to date FEC EFTSL that has been consumed, where the FEC EFTSL is the EFTSL consumed after the student has reached their funded EFTSL consumed date.
19. I cannot find the answer I need here, who should I contact for further assistance?

20. Are the Institute Terms & Conditions course specific? Example - "Please read and indicate your agreement to the Institute Terms and Conditions for the following course: ABA – Bachelor of Arts"
No, the Terms & Conditions are reflective only at the University level and students are only agreeing to the base University terms and agreements.
21. Why can't I vary my enrolment online?
Self-management functionality in StudentOnLine may not be enabled for all students. For example, students enrolled in Non-Award courses and some double-degree courses will not be able to self-manage their enrolment. Students who cannot self-manage their enrolment must contact their faculty.
