Abnormal Items
Items of revenue and/or expense included in the operating result for the reporting period, which are considered abnormal by reason of their size and/or effect on the operating result for the reporting period.

Aboriginal and Torres Strait Islanders (ATSI)
Persons who identify themselves as being of Australian Aboriginal and/or Torres Strait Islander descent (ie. indigenous).

Academic Staff
Staff whose current classification level is part of the academic award and who have been appointed wholly or principally to undertake a 'teaching only' function or a 'research only' function or a 'teaching and research' function.
Comprises the following classification types and levels:

  • Vice Chancellor

  • Deputy Vice-Chancellor

  • Level E

  • Level D

  • Level C

  • Level B

  • Level A

Academic Organisational Units (AOUs)
Units such as schools and departments within an institution which have as their primary objective the undertaking of teaching only functions, teaching-and-research functions or research only functions. Also includes staff in these departments that undertake other functions such as clerical and administrative work.

Access
The number of commencing local students within each equity group.

Accumulated Funds
The result for the reporting period after abnormal and extraordinary items.

Acceptance Rate
Percentage of offers resulting in enrolment in the course, usually taken at Census date.

ACN
Australian Campus Network.

Admission Type
Main criterion used in granting the student admission to the current course.

AIP
Administrative Information for Providers http://www.dest.gov.au/sectors/higher_education/policy_issues_reviews/key_issues/aip_2005/default.htm

All Funds
Staff or students funded from all fund sources including DEEWR funds, research and other grants, fees from international and postgraduate students etc.

APESMA
Association of Professional Engineers, Scientists and Managers Australia.

ASCED
Australian Standard Classification of Education
The ASCED codes are used in the classification of a course's Field of Education and in the classification of unit disciplines.

Attrition
- see 'Retention Rate'

Australian Postgraduate Award
A program administered by the Commonwealth Government to support participation by Australian postgraduate students in postgraduate programs.

Australian Research Council (ARC) Large Research Grants
Funds provided by the ARC for the support of excellent pure and applied research projects undertaken by individual researchers or teams of researchers.

Award
A recognised certification of achievement or competence which may be granted to a student after completion of all the requirements of a higher education course.

Casual Staff
Staff who are engaged and paid on an hourly or sessional basis and who have no entitlements to paid annual leave, paid sick leave or paid long-service leave.

The full-time equivalence for a full year for a member of staff or group of members of staff with a casual work contract is to be calculated in the following way:

If the work performed is lecturing, then:

  • determine the total number of "contact" hours (excluding associated hours spent in preparation and marking) for the person or persons during the full year;

  • divide that number by 9 to give an equivalent number of weeks worked; and

  • divide the equivalent number of weeks worked by N, where N is the number of teaching weeks in a full year.

If the work performed is supervising or conducting demonstrations, tutorials or workshops, then:

  • determine the total number of "contact" hours (excluding associated hours spent in preparation and marking) for the person or persons during the full year;

  • divide that number by 25 to give an equivalent number of weeks worked; and

  • divide the equivalent number of weeks worked by N, where N is the number of teaching weeks in a full year excluding any summer school period.

If the work performed is marking (as a single activity), research or other work, then:

  • determine the total number of "paid" hours for the person or persons during the full year;

  • divide that number by 35 to give an equivalent number of weeks worked; and

  • divide the equivalent number of weeks worked by 52.

Census Dates
Dates usually set by DEEWR/universities that require student enrolment data and staff data to be finalised before submission to DEEWR for a collection period/year.

Students
From 2005, a date determined by the University which does not occur less than 20% of the way through the teaching period. La Trobe has elected to define a census date at the end of each month. Prior 2005, there were two student census dates set by DEEWR -

  • March census - actual 1st and summer semesters as at 31 March, estimated 2nd semester as at 31 March.

  • August census - actual 1st and summer semesters as at 31 March, actual 2nd semester as at 31 August.

Staff
The census date is set at 31 March of the collection year.

Cluster
Disciplinary areas/groups in which a given unit of study will fall. Funding clusters are used to determine Commonwealth contributions for a place and the maximum student contributions for a place. From 2005 to 2007 there are 12 clusters. From 2008, there are 7 clusters.

Commencing Student (DEEWR definition)
Student who is classified as a commencing student in relation to a particular course.

The DEEWR definition for commencing students has varied over the years. From 2005, a commencing student is one that has enrolled in the course for the first time at the institution or an antecedent institution between 1 January to 31 December of the Collection Year.

From 2001 to 2004, the DEEWR commencing definition was between 1 September of the year prior to the Collection Year and 31 August of the Collection Year.

In tables prior to 2001, a student is a commencing student if she/he has enrolled in the course between 1 January and 31 December of the Collection Year.

Note: An antecedent institution means an institution that has merged with the institution at which the student's enrolment continues.

Commencing students exclude certain classes of student, for example those transferring strains within the same award, resuming after a period of absence, certain changes within combined courses, and transferring to honours from the related bachelor pass degree. Refer to the Management Information Unit for specific details.

Commencing Student - RTS Funding
An RTS commencing student in submission 1, must have commenced their course between January and June. For submission 2, commencement must fall between July and December.

Note:
For RTS funding purposes:
a) Upgrades/transfers after completing a research higher degree (and University offers an RTS place) are treated as a commencing student in the new program (and the 4 years (Doctorate)/2 years (Masters by Research) maximum restarts).
b) Upgrades, downgrades, transfers before completing the initial course (and University offers an RTS place) are treated as continuing (and any period of RTS support in prior course is offset against the 4 years (Doctorate)/2 years (Masters by Research)), and not included in separations.

Commonwealth Supported Place
A higher education place for which the Commonwealth makes a contribution towards the cost of the student's education.

Completion Rate
Measures the percentage of students (new and those with a previous higher education experience) who completed the academic requirements of an award course during the period of study.

Concurrent Enrolment
Enrolment undertaken by a student who is enrolled in more than one course and which incurs the lower student load in the enrolment year.

Course Level
The estimated measure of the stage of study in a structured course of more than one year's duration, determined by the level of the units a student is undertaking.

Cross Institution Program
A program of study undertaken in this institution as part of an award course or an enabling course for which the student is enrolled at another institution under an arrangement between the two institutions.

DEEWR (formerly DEST)
Department of Education, Employment and Workplace Relations.

DEST (now DEEWR)
Department of Education, Science and Training.

DEST/DEEWR funded load
Also referred as Commonwealth supported load. It is the student load for which DEEWR provides the University with funds.
From 2005, this includes load for:

  • HECS-HELP deferred

  • HECS-HELP upfront with discount

  • HECS-HELP upfront with no discount 

  • RTS

Prior 2005, this includes load for:

  • HECS liable students excluding non-overseas students in places funded through the Commonwealth-Industry Places Scheme but for which places the institution has NOT deemed the students to be exempt from HECS

  • Non overseas students for whom all load is work experience in industry

  • Non-overseas students undertaking an enabling course

  • Non-overseas students holding a Commonwealth-funded, merit-based, undergraduate HECS-exemption scholarship for disadvantaged students

  • Student who has an Australian Postgraduate Award, students who have an OPRS and who have a category 818 visa, and students who have a SOPF and who have a category 818 visa

  • Non-overseas students enrolled under the Research Training Scheme (RTS).

Discipline
Classification of units in terms of the subject matter being taught and/or researched.

EFTSL
See 'Equivalent Full-time Student Load'

EFTSU
See 'Equivalent Full-time Student Load'

Employer funded
Course
A course where an employer, either in the private or public sector, meets at least the full average cost of the course.

Enabling Course
A course of instruction provided to a person for the purpose of enabling the person to undertake a course leading to a higher education award.

Enrolment
Includes any enrolment to an award course, non-award course, enabling course or cross-institution program at census date with at least a unit of study undertaken in any semester. A student enrolled in two courses is counted as two enrolments.

ENTER
Equivalent National Tertiary Entrance Rank.

A score given to a student at the completion of the final year of secondary education. The ENTER is an overall percentile ranking reflecting the comparative performance of students undertaking VCE study amongst the relevant age group in a given year.

The ENTER is calculated in steps of 0.05 with the highest rank being 99.95, the next highest 99.90, etc. The lowest automatically reported rank is 30. 

Equivalent Full-time Student Load (EFTSL)
Previously referred as Equivalent Full-time Student Unit (EFTSU).
A value representing the student load for a unit of study or part of a unit of study. It is expressed as a proportion of the workload for a standard annual program for students undertaking a full year of study in a particular year for a particular course.

Extraordinary Items
Items of revenue and expense which are attributable to transactions or other events of a type that are outside the ordinary operations of the university and are not of a recurring nature.

Field of Education
Broad classification of course in terms of vocational field, specialisation or the principal subject matter being taught and/or researched, using the Australian Standard Classification of Education.

Field of Research
Classification of research and experimental work in terms of its discipline. It describes what research is being performed.

Field of Study
Broad classification of course in terms of vocational field, specialisation or the principal subject matter being taught and/or researched. (Replaced in 2001 by Broad Field of Education).

Fixed Term Staff
Staff who have an appointment for a fixed period of time and who have entitlements to paid annual leave, paid sick leave or paid long-service leave.

FTE
Full-time Equivalence.
The staff statistics have been expressed as full-time equivalence where a staff member has a full-time equivalence of 1.00 if, at the reference date, they have a full-time work contract. Where a staff member has a fractional full-time work contract (part-time), they are given a full-time equivalence based on the proportion of their work contract to a full-time work contract.

Full-time Student
Student load aggregated for all the courses being undertaken by the student in the Collection Year is 0.75 or more.

Funding Cluster - see 'Cluster'

General Staff
Staff with a non-academic classification. Includes the following levels:

  • Junior, trainee or apprentice below Level 1

  • HEO Level 1 to HEO Level 10

  • Senior executives above Level 10.

Graduate Certificate
A postgraduate program of formal studies below the level of postgraduate diploma.

Graduate Entry Bachelor
Bachelor course for which the completion of a 3 years degree or equivalent is a prerequisite.

HECS-HELP
A scheme that includes up-front payment discounts and loans to help eligible Commonwealth supported students pay their student contributions.

HEP
Higher Education Provider

HESA
Higher Education Support Act

Higher Degree Research (HDR)
A course for which at least two-thirds of the student load for the course is required to be completed as research work and not more than one-third coursework.

Higher Doctorate/PhD
Doctoral program, usually by research.

Higher Education Contribution Scheme (HECS)
The Higher Education Contribution Scheme requires most students to contribute towards the cost of their higher education. A student's HECS liability is calculated on a semester by semester basis from his or her student load and the annual course contribution which apply for that year.

Indigenous
Staff or students who are of Australian Aboriginal and/or Torres Strait Islander descent. 
 

Institutional Grants Scheme (IGS)
A Commonwealth Government block funding mechanism for Higher Education Research. The IGS funding to Higher Education institutions are allocated according to a formula which takes into account research student places, research related income and research outputs.

Inverse Attrition - see 'Retention Rate'

Isolated
Category of students, based on the postcode of home residence, as defined in the Australian Socio Economics reference table compiled by the Australian Bureau of Statistics.

Local Student
Students with the following citizenship/residence status:

  • Australian citizen; or

  • New Zealand citizen or a diplomatic or consular representative of New Zealand, a member of the staff of such a representative or the spouse or dependent relative of such a representative; or

  • Permanent visa or Permanent humanitarian visa.

Masters Preliminary
Non-award program to permit students who do not have an honours degree to enter a masters program.

Mean
The average.

Median
The middle value of a range of values sorted in ascending order.

Non-award Course
A program of study comprising isolated units that does not lead to an 
award.

Non-English Speaking Background (NESB)
Local students who have been resident in Australia for less than 10 years and who speak a language other than English at home.

Operating Expense
The expense for the reporting period before abnormal and extraordinary items.

Operating Revenue
The revenue for the reporting period before abnormal and extraordinary items.

Organisational Unit
A unit which an institution has formed in order to undertake particular functions, or a unit which is used for statistical reporting purposes.

Overseas Student
A person who is not an Australian citizen or a NZ citizen or the holder of a permanent visa.  

Students with the following citizenship/residence status:

  • Student has a temporary entry permit or is a diplomat or a dependent of a diplomat (except New Zealand) and resides in Australia during their studies

  • Student is not a local student and is residing outside Australia during their studies.

Participation
The number of local students within each equity group.

Part-time student
Student load aggregated for all the courses being undertaken by the student in the Collection year is less than 0.75.

PELS (pre 2005)
Postgraduate Education Loans Scheme that provided an interest-free loan facility with income contingent repayment arrangements similar to the Higher Education Contribution Scheme (HECS) for eligible students enrolled in fee paying postgraduate non-research courses. PELS enabled eligible students to obtain a loan from the Commonwealth Government to pay all or part of their tuition fees incurred from 1 January 2002. From 2005, FEE-HELP replaced PELS.

Person (Staff)
Relates to head counts. (A staff member employed in more than one cost centre is counted as one person).

Person (Student)
Relates to head counts. (A student enrolled in more than one course is counted as one person).

Postgraduate Diploma
A postgraduate program of formal studies below the level of a higher degree.

Progress Rate
Measures the percentage of student load passed, to total assessed load.
For the equity groups, this measure of success excludes
international students, students residing permanently overseas and students enrolled in cross-institution programs.
It provides a measure of educational achievement and the effectiveness of educational delivery. 

Publications
The Publications data is designed to measure the relative research output of institutions across a specified selection of publication categories.

Research Income
Any income received by a university and its controlled entities that passes through the university's audited financial statements and is provided specifically for research purposes.

Research Income Categories
Three categories used to group Research Income:

Category 1 - National Competitive Research Grants
Income from the Commonwealth and Non-Commonwealth Research schemes as listed by DEEWR.

Category 2 - Other Public Sector Research Funding
Income from State and Local Government, including government business enterprises. Also includes eligible commonwealth income not included in Category 1.

Category 3 - Industry and Other Funding for Research
All other eligible income sources including contracts, grants and donations from Australian and non-Australian sources.

Research Only
Staff who are employed primarily to undertake research work or to provide technical or professional research assistance or the management and leadership of research staff and of staff who support research staff.

Research Publications
A Research Publication is characterized by:

  • substantial scholarly activity, as evidenced by discussion of the relevant literature, an awareness of the history and antecedents of work described, and a format which allows a reader to trace sources of the work through citations, footnotes etc,

  • originality, that is, it is not a compilation of existing works;

  • Veracity/validity through a peer validation process or by satisfying the commercial publisher or gallery processes,

  • increasing the stock of knowledge; and

  • being in a form that enables dissemination of knowledge.

Research Publication - Counts
Straight count 
Simple count of the number of publications in each DEEWR category.

DEEWR weights
Book:  5
Books Chapters:  1
Journal Articles:  1
Conference Publications:  1

Unweighted
Where there are multiple authors, for example, if there are three  authors of a publication count one-third for each author who was a staff member or student of the university.

Research Training Scheme (RTS)
The scheme provides Commonwealth-funded HDR students with an 'entitlement' to a HECS exemption for the duration of an accredited HDR course, up to a maximum period of four years' full-time equivalent study for a Doctorate by research and two years' full-time equivalent study for a Masters by research.

Retention Rate
Shows the 'success' rate and represents one dimension of the effectiveness of the delivery of educational services. It is defined as the number of continuing and/or graduated students (ie. those that either graduate or continue to study in the following year), as a proportion of the number of students in the previous year. Also known as Inverse Attrition.

Rural
People living in localities with a population of less than 1000 persons as defined by the Australian Bureau of Statistics.

Socio Economic Status - Victoria
Socio economic classification based on Victorian postcode of home residence as defined by the Australian Bureau of Statistics.

Staff Turnover
Staff turnover is the total number of cessations for a year (1 April to 31 March) as a percentage of the total number of staff (at census date 31 March) for that year.
It measures the rate at which academic and non-academic staff members leave the University's employment.

Statistical Division (SD)
An Australian Standard Geographical Classification (ASGC) defined area which represents a large, general purpose, regional type geographic area. SDs represent relatively homogeneous regions characterised by identifiable social and economic links between the inhabitants and between the economic units within the region, under the unifying influence of one or more major towns or cities. They consist of one or more Statistical Subdivisions (SSDs) and cover, in aggregate, the whole of Australia without gaps or overlaps.  They do not cross State or Territory boundaries and are the largest statistical building blocks of States and Territories.

Statistical Subdivision (SSD)
An Australian Standard Geographical Classification (ASGC) defined area which represents an intermediate level, general purpose, regional type geographic unit. SSDs consist of one or more Postcodes and cover, in aggregate, the whole of Australia without gaps or overlaps.

Student Load
A measure which expresses what proportion of a standard program for a student undertaking a full year of study in a particular course. Student load is expressed in Equivalent Full-time Student Load (EFTSL) values.

Student/Staff Ratio
The ratio between the EFTSL taught by a teaching department and the staff FTE in the department. This gives an indication of the number of students per staff. The student to teacher staff ratio only includes staff with a 'Teaching only' or 'Teaching & Research' function.

Data are produced using two methodologies - LTU and Universities Australia (UA). Both methods include casual staff and exclude offshore students. The difference is the LTU method excludes ACN, APESMA, exchange students and non-faculty departments.

Success
The progress rate of local students within each equity group.

Teaching and Research
Staff who not only perform a teaching function but who are also required to undertake or assist with research.

Teaching Only
Staff who are involved only with teaching and associated activities including lecturing, group or individual tutors, preparation of teaching materials, supervision of students, marking and preparation for the foregoing activities. There is no formal requirement that research be undertaken.

Tenurable
Also referred as Continuing staff.
Staff who are employed on a permanent basis, ie. their substantive appointment or current duties will normally last until retirement age.

TER
Tertiary Entrance Rank. 

UAC
University Admissions Centre.

Urban
People living in localities with a population density of more than 200 persons per square kilometre as defined by the Australian Bureau of Statistics.

VTAC
Victorian Tertiary Admissions Centre.

Z-Score
The Z-score for an item, indicates how far and in what direction that item deviates from its distribution's mean, expressed in units of its distribution's standard deviation.
A negative Z-score means that the original score was below the mean. A positive Z-score means that the original score was above the mean. The actual value corresponds to the number of standard deviations the score is from the mean in that direction.
The mathematics of the Z-score transformation are such that if every item in a distribution is converted to its Z-score, the transformed scores will necessarily have a mean of zero and a standard deviation of one.
