Requesting lecture recordings

To have a regular schedule of lectures automatically recorded by the Lectopia system, you will need to request it. In order to request Lectopia lecture recordings;

  • your subject must be in the LMS
  • you must be a subject designer or instructor in your LMS subject
  • your subject must be timetabled in a Lectopia-enabled venue (see a list of these venues on the Lectopia-enabled venues page).

This choice can be made in the LMS Administration System when setting up your subject or by editing your LMS subject settings later in ‘Manage subject’.

Two recording options are available - ‘Audio Only’ or ‘Video and Audio’.

Lectopia options in the LMS Administration System

When you have requested (selected) a Lectopia recording option in the LMS Administration System you will receive an automated email confirming your details the following day. Having received the confirmation email, you should verify your recording schedule in the Lectopia Staff Tool (see the Verifying and editing recording details page for more information).  If there are any inconsistencies in the recordings schedule, or the schedule is not as you intended it to be, you should contact the ICT Service Desk.

It is the responsibility of the staff member requesting Lectopia to check their recording schedule in the Lectopia Staff Tool to confirm and verify recording schedule details.  If the schedule details are incorrect the wrong room may be recorded. If there are problems with the schedule contact timetables to verify your class timetable. Allow 24 hours for system updates to affect any changes then check the Lectopia staff tool again. If this remains incorrect you must then lodge this problem with the ICT service desk.

Ad hoc and one-off recordings

Ad hoc recordings are available for the capture of single recordings i.e. one-off events.  Ad hoc requests may be submitted using the Lectopia recordings ad hoc request form online via MyICT (Intranet > Systems > MyICT).

Venues

Lectopia recordings rely on the venue AV systems to capture lectures.  You will need to make sure you are confident operating these systems. In general;

DO

  • Use the microphones in venue to capture audio
  • Use the installed PC or personal laptop to capture visual material
  • Use the document cameras for presenting visual material

DO NOT:

  • Do not use OHPs or whiteboards. These images cannot be captured

For more detailed information, it is highly recommended that all staff attend lecture theatre AV training prior to the start of semester. Registrations for training sessions are available throught the Lecture-theatre AV training page on the CTLC website. Effective Lectopia recordings depend on good pedagogy for both your live presentation and your recording.

Publishing Your Recordings

Important

When your recording is available, you will need to publish the recording in the LMS before your students can access it.

To do this you will need to create a Lectopia link in the LMS subject space for students to view and/or download. See the Creating a Lectopia Link page for more information.

Once your lecture takes place, the recording will be made available overnight.  You will be able to see if your lecture recording is available by viewing your recording schedule in the Lectopia staff tool.
