Sponsored students

International sponsored students receive financial assistance from a government, organisation or company (not private individuals, relatives or benefactors) to study at La Trobe. The sponsor will generally put arrangements in place to pay a student's tuition fees on their behalf, and may also pay a living allowance directly to the student.

La Trobe currently hosts over 550 international sponsored students from a range of sponsor organisations around the world.

Information for sponsors

How to register as a sponsor

Sponsors new to La Trobe are required to complete a Sponsor Registration Form [PDF 655KB]. Each student who is sponsored will be required to submit an authorised financial guarantee.

Prospective sponsored students

Your sponsor organisation must be registered with La Trobe as an approved sponsor for us to accept your Financial Guarantee Letter and register you as a sponsored student. Email Sponsored Programs at sponsoredprograms@latrobe.edu.au to check your sponsor's registration status. If they are not currently registered, ask your sponsor to complete and return a Sponsor Registration Form [PDF 655KB].

Financial Guarantee Letter and registration

When accepting your offer, you or your sponsor/agent must be registered, and must provide a Financial Guarantee Letter to your Admissions Officer with your completed Offer Acceptance Form. The letter must be on your sponsor's official letterhead, signed by an authorised person from your sponsoring organisation, and include:

  • name of sponsor organisation
  • full name of student
  • name of study program/s the student is sponsored to undertake
  • advice regarding level of tuition fees covered by sponsorship (our preference is a reference to 'Full tuition fee coverage for the period of sponsorship', rather than reference to a fixed dollar sponsorship amount, however if the sponsorship is capped at an annual $ amount this must be expressed in $AUD), and the letter must state whether the student or sponsor is responsible for any difference incurred
  • La Trobe University stated as the Institution at which the sponsored study will be undertaken
  • OSHC requirements clearly stated (Single Cover/Family Cover, and whether the sponsor organisation or La Trobe is to organise)
  • invoicing contact details for your sponsor (name, position title, email, telephone, mailing address)
  • academic reporting contact details for your sponsor (name, position title, email, telephone, mailing address)
  • date, signature, and printed name of the authorising individual from the sponsor organisation.

If for whatever reason your financial guarantee does not cover the whole period of your degree then you must sign a fees liability letter in which you agree to be responsible for fees where your sponsorship has expired.

Once you have started studying, you and/or your sponsor must also provide an updated Financial Guarantee Letter if your study program or sponsorship timeframe changes, or if the original Financial Guarantee Letter for your studies includes a conditional period beyond which your sponsorship must be re-approved. Please provide the updated letter to Sponsored Programs as soon as you receive it, or email sponsoredprograms@latrobe.edu.au.

Overseas Student Health Cover (OSHC)

OSHC is a compulsory condition of all student visas holders in Australia and must be in place for you (and your family, if you are accompanied) for the duration of your student visa. Many sponsorships cover the cost of OSHC. If your sponsor has organised OSHC cover for you already, please ensure you provide evidence of this existing cover to your Admissions Officer when accepting your offer at La Trobe.

If La Trobe is organising OSHC on your behalf you will be required to use our preferred provider Overseas Student Health Cover by Allianz Global Assistance. Make sure your sponsor's level of OSHC cover (single or family) is stated clearly on your Financial Guarantee Letter.

If your sponsorship only covers single OSHC, you will be required to pay the family component upfront to obtain a family visa. If your family will be joining you at a later date, you can upgrade your existing OSHC policy to Family or Multi-Family by visiting the Allianz Global Assistance team on campus in the La Trobe International Office on a Monday, Tuesday or Friday.

When you arrive and register, La Trobe International will provide you with instructions on how to order your OSHC card or e-membership online. If your OSHC has expired prior to your course completion and you need to extend it, please follow the steps outlined in the OSHC renewal form [PDF 15KB] and visit La Trobe International to complete an OSHC extension request.

Registration, enrolment and orientation

On arrival please visit La Trobe International to register, finalise any outstanding issues in relation to your offer, and obtain your enrolment pack. Every Orientation we run a special session just for sponsored students. Come along to meet the sponsored programs team and understand more about how we support you.

Student support

Sponsored Programs staff at La Trobe International provide administrative support to sponsored students and their sponsors. Our staff can:

  • answer student queries regarding their sponsorship arrangements
  • liaise with external sponsors and also other parts of the University on behalf of sponsored students
  • refer sponsored students to a wide range of on-campus support available to assist with settling into life at La Trobe and achieving academic success.

They are also available for one on one advice sessions at Room 306, La Trobe International, level 3, Sylvia Walton Building, Melbourne (Bundoora) campus on:

  • Mondays from 2pm to 5pm
  • Thursdays from 9:30am to and 12.30pm
  • at other times by appointment.

Liaison with your sponsor

By accepting your offer as a sponsored student you are agreeing to the university contacting your sponsor as necessary. We are required to keep your sponsor updated on your academic progress and any matters that might affect your academic progress. Our office can also assist students in liaising with their sponsors on other issues as required.

Statement of account and tuition fees

You will be able to view your assessed fees for the academic year in your Statement of Account via your StudentOnLine account once you enrol. If you are registered as sponsored, the fee amount owing should be $0. If you have a fee amount owing or receive notification from the Fees Unit that your tuition fee payment is overdue, please contact Sponsored Programs at sponsoredprograms@latrobe.edu.au for advice.

Changes to your enrolment

Any changes to your course must be approved by your sponsor. You will need to obtain your sponsor's written approval if you require advanced standing, a later start, leave of absence, under-load, extension, course transfer, or any other change to your enrolment.

Course Transfer Process for sponsored students

To request a course transfer from your sponsor, follow these steps (note not all courses are eligible for transfer):

  1. Download and complete this form for international student course transfer
  2. Provide written approval from your sponsor that a transfer is permitted under the terms of your sponsorship
  3. Submit the completed form and sponsor approval to LTICompliance@latrobe.edu.au and cc: sponsoredprograms@latrobe.edu.au
  4. This will then get authorised by the international office and submitted to the College for assessment

Extensions for sponsored students

It is a condition of your student visa that you complete your studies within your specified CoE period. Coursework students who have had academic progress issues, or have experienced compassionate and compelling personal circumstances that have slowed their progress, should complete an Agreed Progression Plan (APP) with their College detailing steps being taken to get back on track and the revised timeline through to completion of studies. This usually requires a meeting as it involves a detailed discussion about the challenges faced and what your subject options are moving forward. The APP describes in detail the rest of your course through to completion so Immigration know clearly how long you need a visa for.

Higher Degree Research students who have had academic progress issues, or experienced compassionate and compelling personal circumstances that have slowed their progress, should liaise with their supervisor and complete an Application to Extend Candidature form from the HDR Forms and resources page, noting the extension period required for thesis submission.

To request an extension of sponsorship once the Agreed Progression Plan/Application to Extend Candidature Form has been completed and signed off by your College, sponsored students should:

  • contact your sponsor directly requesting a sponsorship extension and revised Financial Guarantee Letter that covers you through to your new course end date
  • provide the updated Financial Guarantee Letter and APP to Sponsored Programs Team
  • You will then need to apply for a new CoE and visa.

Requesting a new CoE and Visa

If you need a new visa it's because there has been a change to your original course - usually because of academic difficulties. As a sponsored student you will also need to provide a new financial guarantee.

OSHC extensions

Sponsored students whose OSHC cover has been arranged by La Trobe on behalf of their sponsor can extend their OSHC using the OSHC extension request form [PDF 15KB]. A number of documents are required for this purpose, including a Financial Guarantee Letter that indicates the sponsor will cover OSHC costs for the extended period. Students should submit the completed OSHC extension request form with all required attachments to La Trobe International marked to the attention of the Sponsored Programs Team.

Leave of Absence for Sponsored Students

From time to time it is possible to take leave from your studies. However this needs to be approved by your sponsor and requires appropriate documentation. Please see the Leave of Absence page for more information and be advised that your sponsor will need to provide written approval before this can be processed.

Please also note that a leave of absence will mean you will need a new financial guarantee from your sponsor.

Academic Monitoring to Your Sponsor

As a sponsored student we are required to monitor your academic progress and report your results to your sponsor every semester. Please be advised that your sponsorship may be dependent on successful completion of your subjects and that your sponsor may terminate financial support if they are not happy with your progress.

For higher degree research student we send your sponsor your Research progress report (RPP) every 6 months.

As an international sponsored student you are also required to maintain full time course load (usually 60 credit points). Anything less than this needs to be approved by your sponsor and by the Sponsored Programs Team.

Requesting Letters to Your Sponsor

Every semester the Sponsored Programs Team provides a detailed report to sponsors about their student's enrolment, including all the each student has chosen for that semester. We are unable to write individual confirmation letters of enrolment but instead we confirm as a group before and after every census date.

If you need a letter for another purpose please send an email to sponsoredprograms@latrobe.edu.au and include your full name, student ID, national ID (if applicable), sponsor and name of your course and a brief explanation of what you need the letter to say. Please also allow 3 working days for this to be processed.

Help with your studies

If you are having difficulty with your studies there is plenty of support. Start at the La Trobe Studying page for excellent resources to assist you. For academic progress issues you should first contact your college for information about available academic support.

Some sponsors provide additional sponsorship entitlements, such as a tutoring allowance, to assist students who need extra help with their studies. Sponsored students should check with their sponsors directly to find out about any available entitlements and the process for accessing these, and should contact their Course Coordinator before engaging a private tutor to seek college endorsement for this.

If you are requesting support for tutoring please note this must be confirmed by your course coordinator and you must demonstrate you have accessed all available university supports first and foremost. More information on study support may be found on the Studying page.

Sponsor visits to campus

Some sponsors will undertake monitoring visits to La Trobe University, to meet with students directly and discuss study progress and any other relevant issues. Sponsored Programs can assist sponsors with booking a meeting room for their visits, arranging student meeting times.

Sponsors should contact Sponsored Programs at sponsoredprograms@latrobe.edu.au to discuss arrangements at least two weeks prior to their planned visit.

Completing your studies

Finishing your course early

Please notify Sponsored Programs if:

  • you have applied for and been granted Advanced Standing that will bring your completion time forward
  • you have overloaded or undertaken additional summer or winter semester units which have brought your completion time forward.

Completion letter and academic transcripts

On completion of your course and if you have no debt owing to the University, you will be mailed one free transcript to your postal address. If you require additional transcripts or an official Completion letter you can request these via student administration on your campus. Find out more about academic transcripts.

Graduation

Completing students are eligible to graduate if they have met all credit requirements of their course, have a course status of 'passed', and owe no money to the University. If the sponsor has not paid your tuition fees or OSHC costs (where relevant), you will not be able to graduate. If non-payment of fees is impacting on your eligibility for graduation you should contact your sponsor directly to prompt urgent payment. Find out more details about graduation.

Australian Permanent Residency

Most sponsors do not allow you to change your residence status while you are on a sponsorship, therefore sponsored students are usually required to return to their home country promptly upon completion of their studies. Please check the terms and conditions of your sponsorship carefully, or contact your sponsor for further clarification.

My student account has been sanctioned

Your Student On Line account may become locked if your sponsor hasn't paid your tuition fees in a timely way or you have incurred a fine such as a library fine. Different sanctions may be applied to your student account depending on how overdue the payment is, and may include limiting library access, student email access, requests for official documentation and access to graduation OR termination of your enrolment and subsequent breach of student visa conditions.

Contact your sponsor to prompt them to pay urgently if your account is encumbered, or contact Sponsored Programs in La Trobe International for further clarification.

Can I stay in Australia if I finish my course before my CoE expiry date?

If you finish your course a semester/term earlier than your CoE expiry date, La Trobe University is required to report your completion to the Department of Immigration and Border Protection (DIBP) through our usual reporting processes and your student visa will expire shortly thereafter.

If you wish to remain onshore to undertake a further program of study following completion of your degree at La Trobe you should apply for the new course promptly on completion of your current course, and apply to your sponsor for a Financial Guarantee Letter for your next program of study.
