Staff - Procedure for overseas travel

An Absent on Duty form must be completed and signed by the appropriate people (indicated on the form).

Staff must check if there are any Travel Warnings applicable to the country/cities they intend to visit.

It is the University's philosophy that staff or students would not normally be given permission to travel to any area where the

  • Department of Foreign Affairs & Trade (DFAT) recommends you "reconsider your need to travel" or "do not travel " or
  • where "Citybrief" rate a city as High or Extreme.

If this applies to the country of intended travel, justification of why the trip is considered to be essential must be attached to the application form. The "Travelling to Risky Countries" guidelines may be of assistance in this regard. Staff will also be required to undertake a Travel Risk Assessment to ensure risks associated with their trip are fully understood.

Travel Insurance

The University's travel insurance policy does NOT cover family members or spouses accompanying a staff member on a trip. Separate insurance must be taken for this cover. Travel insurance can be quoted/purchased (from an authorised insurer) on line here.

 

Students - Procedure for overseas travel

A Student Travel form must be completed at least 28 days before departure and authorised by the Head of School, Dean and Vice-Chancellor. The approved form is forwarded to the Insurance Office for recording on the University's Travel database. The signed form will then be sent back to the Head of School. The Insurance Office does not keep copies of the Student Travel form.

The student must check if there are any Travel Warnings applicable to the country/cities they intend to visit.

Students may also be required to undertake a Travel Risk Assessment to ensure that the risks associated with their trip are fully understood. The Insurance Office will contact you if this is necessary.

Travel Insurance - must be purchased before travelling overseas.

a) FREE travel insurance applies to students travelling overseas if 100% of the student's travel expenses (including airfares and other transportation costs, accommodation, conference fees, incidentals, etc, but excluding food) for the University segment of the trip are borne by the University.

b) FREE travel insurance applies to postgraduate students travelling overseas in connection with their studies (eg conferences, outside placement, fieldwork or other research) including some associated private travel.

c) If the above does not apply to your situation, travel insurance can be quoted/purchased from an authorised insurer here or from your travel agent.
