7.2 QAU Scheme: Procedures

7.2.1 Distribution

The School Administration Manager/Centre Executive Officer (SAM/CEO) in each School/Centre will be responsible for coordinating the School’s or Centre’s QAU scheme across all campuses. Questionnaire forms will be distributed to the SAM/CEO in week 15 and 36 of the calendar year unless forms are requested earlier. Early requests require a minimum of two weeks notice. Schools/Departments wishing to survey more than one component of a unit must advise the Faculty Executive Officer (FXO). The School/Department will be charged for the extra forms and scanning.

Questionnaire forms must not be photocopied or folded as they will not scan correctly. Questionnaire forms should be distributed by administration staff during a class and collected by administrative staff at the end of the class.

7.2.2 Completion

  • Students should be informed that completing the QAU questionnaire is voluntary but should also be encouraged to complete the questionnaire;
  • Staff are asked to ensure that students fill in the unit code correctly, the discipline of their course and, where appropriate (e.g. nursing, social work, public health, physiotherapy), the campus should be indicated;
  • Students must use a HB Pencil or Black Pen to colour in the circles or the scanner is unable to detect the correct answer.
  • Students should be instructed not to write anywhere on the forms (except in the space provided for open ended question responses), nor should the form be folded or it will effect the scanning.

7.2.3 Collection

The completed questionnaire forms for each unit should be returned to the SAM/CEO. Each unit’s completed questionnaire forms should be placed in a large envelope and the following details clearly written on the envelope:

  • Unit Code;
  • Unit Title;
  • Campus of Offer;
  • Type of Questionnaire (i.e. General or Clinical);
  • Number of Forms (optional);
  • If the unit is a common core unit, this should be indicated on the envelope;
  • If a separate open-ended response form is used, these must be removed from the envelope.

The SAM/CEO should collect and collate ALL responses from ALL units at ALL campuses before forwarding the forms to the FXO as one bundle. The envelopes should be separated by
campus and a covering memorandum should accompany the bundle. The memorandum should list:

  • The unit codes and unit titles of the units surveyed;
  • The campus at which those units were surveyed; and
  • The type of questionnaire.

Forms must be returned to the FXO by the end of week 32 of the calendar year (for units taught between 1 December to 30 June) or by the end of week 49 of the calendar year (for units taught between 1 July to 30 November). Units with non-standard teaching periods will need to be included with one of these submissions. Subject to the availability of the outside provider of scanning and analysis services, it is anticipated that summary reports will be made available by mid August and mid January following each submission.
