Information for Examination Candidates

 

 

Alternative Examination Arrangements

Medical:
Alternative examination arrangements may be made for centrally administered semester, annual, special or supplementary examinations for students who are either permanently or temporarily disabled.

Students should consult the Disability Liaison Officer in the first instance.

Note: Students with a permanent or long-term disability who have previously registered with the Examinations Office are not required to re-register for future centrally administered periods.

 

Examination Clash or Alternative Time:
To sit an examination at an alternative time a candidate must complete a Statutory Declaration and supply supporting documentation.

Non-medically related reasons for requesting alternative examination arrangements are:

  • Armed services duty
  • Representation of country in an International event
  • Jury duty/court appearances
  • Emergency services employee/volunteer
  • Examination clash - two examinations scheduled on the one day at the same time

Please note: Candidates are required to make themselves available for the entire examination period. Inability to attend an examination at the scheduled time due to travel arrangements is not a valid reason for sitting an examination at an alternative time.

Examination Durations

The Official Examination Timetable displays the total examination duration, including the Reading Time allocated to that examination.

Reading Time

Unless otherwise specified, candidates will be allowed either fifteen (15) or thirty (30) minutes to read the examination paper before writing commences.

Writing is not normally permitted during reading time.

Examination Timetables

With the exception of the supplementary/special examination timetable, official timetables are published approximately five weeks prior to the commencement of the examination period.

Students can access the examination timetables online via the La Trobe University Timetables website.

Candidates should check the allowable materials/instructions, dates, times, and locations of their examinations carefully, as it is their responsibility to observe all requirements specified in the timetable.

Failure to present for an examination through misreading the timetable is not sufficient grounds for special consideration. Candidates who find themselves in this situation, however, should report immediately to their Faculty Student Administration Office.

The University provides no information regarding examination dates, times and/or locations over the telephone.

If a candidate has two examinations scheduled for the same examination session, they must contact their Student Administration Centre at least three weeks prior to the commencement of the examination period and complete a request for Alternative Examination Arrangements.

Examinations Conducted within Schools/Departments

In some instances, examinations will be conducted by schools/departments.

If this is the case, the examination will not be listed on the central timetable, and you will receive direct notification from the relevant school/department regarding the examination's details.

Such information must be made available to you by the relevant school/department at least two weeks prior to the scheduled examination.

Examination Seat Numbers

Candidate seat numbers will be displayed on notice boards outside the appropriate examination venue approximately thirty (30) minutes prior to the commencement of each examination session.

Candidates are advised to check their seat number immediately on arrival.

Any candidate whose Student Id does not appear on the seat list should report immediately to the venue's Chief Supervisor.

In some instances examinations may be split between two or more venues. Examination Supervisors may be able to assist with locating appropriate examination venues.

Special Consideration in Examinations

If you believe that your studies have been adversely affected by illness or another cause throughout the year you may apply for special consideration.

A student who makes an application shall:

(a) lodge such an application in writing with the Student Administration Office;

(b) in that application provide details of the basis of the illness or other cause and list the units and examinations to which the application relates;

(c) where that application relates to illness lodge a medical certificate; and

(d) lodge such an application before any examination to which any such application relates.

If you consider that your performance in an examination has been adversely affected by illness or other cause immediately prior to, or in the course of, the examination you may, in the first instance inform the supervisor at any time during the examination. You must subsequently furnish in writing a statement containing the circumstances - together with any medical evidence or other such evidence as may be applicable - not later than 72 hours after the commencement of the examination.

A student who fails to attend an examination or whose performance at an examination has been adversely affected by illness or another cause and who wishes to apply for special consideration shall:

(a) lodge a written application with the Student Administration Officd within 72 hours after the commencement of the examination; and

(b) in that written application provide reasons for the failure to attend or details of the basis of that illness or other cause; and

(c) with that application lodge documentation which supports the application, including a medical certificate where the application involves illness.

Students enrolled in courses or units(subjects) that have continuous assessments should contact their Faculty Office for advice on applying for Special Consideration.

Special Consideration application forms are available from, and should be lodged at, your local Student Administration Office. It is important to note that submission of an application for special consideration means only that the difficulties referred to therein will be brought to the attention of the examiner(s) in the unit(s)/subject(s). It does not necessarily mean that special consideration will be granted.

Acknowledgement of Receipt of Applications

The Student Administration Office on the Albury/Wodonga, Bundoora and Bendigo campus will acknowledge receipt of all special consideration application forms within 48 hours.

This acknowledgement will be sent via email to your La Trobe University student email account.

All enquiries regarding outcomes of the special consideration applications should be directed to your School/Faculty office. For Mildura and Shepparton students, please contact your campus administrator*.

Important Points on Examinations
  • Students are required to make themselves available for the entire duration of any official examination period.
  • Candidates are not required to provide their name or signature on examination scriptbooks, examination papers and multiple choice answer sheets. Only student ID and full seat number should be provided on these materials.
  • Candidates are required to complete the Examination Attendance Slip in full at the commencement of writing time, providing their name and signature.
  • It is the responsibility of all candidates to provide their correct student ID on all examination materials. Failure to provide a correct ID number may result in a candidate’s examination not being assessed.
  • Authorised examination material is identified on the examination timetable and examination papers. All candidates must place any unauthorised material in a closed, non see-through bag under their desk prior to the commencement of the examination.
  • If during an examination a candidate is found in possession of unauthorised material they could face disciplinary action in accordance with University regulations.
  • In possession’ means where unauthorised materials are found on, or next to a candidate’s desk or chair, in or on their clothing, on their body (or in their wallet or purse)
  • Student ID cards must be displayed prominently on desks throughout all examinations
  • Candidates will not be admitted to an examination if they arrive more than half an hour after writing has commenced
  • Extra time will not be granted to any candidate who does not present for an examination at the correct time and place
  • There must be no communication of any kind among candidates in examination venues. Candidates are strongly advised not to draw attention to themselves by looking frequently at other candidates or around the venue.
  • Mobile phones may not be used in examination venues under any circumstances.
