Guide to adding a print and graphic data record

Field Description
On-line date Click on select to choose the date the reproduced copyright material was/will be made available online. A calender will pop up indicating the current date (day is in red). The day and month can be changed by toggling through the calender.
Anticipated off-line date Click on select to choose the date the reproduced copyright material will not be available online. A calender will pop up indicating the current date (day is in red). The day and month can be changed by toggling through the calender.
Electronic notice displayed

The electronic notice displayed defaults to the appropriate notice based on the record type selection made. This notice must appear on the webpage immediately prior to or at the same time as the reproduced copyright material appears on the screen.

Details of Work
TITLE OF PUBLICATION Enter details of the book, journal, document, or website including issue number, edition or volume number wherever applicable.
TITLE OF WORK Enter details of the name of the work ie chapter, pages, drawing, picture, table, map or diagram.
AUTHOR Click on Add a New Author. A pop up box will appear to enter the details of the creator of the work in the format - surname, name(s) or initials. Enter the surname in the Go To box to make a selection from the list of existing authors. More than one author can be selected by holding CTRL and select appropriate name with mouse click.
ARTIST/CREATOR(S) Enter details of the creator of the work in the format - surname, name(s) or initials.
PHOTOGRAPHER Enter details of the creator of the work in the format - surname, name(s) or initials.
PUBLISHER Enter details of the publisher of the work.
DATE OF PUBLICATION Enter the date of publication as it appears on the published work.
PAGE NUMBER(S) Enter the page numbers as shown in the publication.
VOLUME NUMBER Enter the number of the publication.
CHAPTER NUMBER Enter the number of the chapter.
ISBN Enter the International Standard Book Number of the publication.
ISBN/ISSN Enter the International Standard Serial Number of the publication.
WEBPAGE ADDRESS OF WORK Enter the web address where the reproduced work is located on the internet. Enter NOT APPLICABLE if work was not obtained from the internet.
Location of Copied Material  
WEBSITE HOMEPAGE ADDRESS Enter the web address of your homepage.
WEBPAGE ADDRESS WHERE COPIED WORK HOSTED Enter the web address where the reproduced work is/will be located on your website.
Type of Work
CATEGORY OF WORK Select the appropriate category from the list - (ARTISTIC - STAND ALONE should be selected if an artistic work is copied.)
ARTISTIC WORK Select the appropriate type/category from the list - examples of artistic works: a painting, engraving, drawing, graph, sculpture or photograph (if the reproduced work is not an artistic work select "NOT APPLICABLE"). "INCIDENTAL ARTISTIC WORK" should be selected if copied with text. An enquiry process must be undertaken before an artistic work is reproduced from a hardcopy source - see HARDCOPY COPYING LIMITS (PDF 28Kb).
COPY SOURCE The source where the reproduced work originated - select the appropriate category from the list.
MATERIAL FOR COURSE PACK Select one.
AMOUNT OF COPIED WORK Select one - see HARDCOPY COPYING LIMITS (PDF 28Kb) or DIGITAL COPYING LIMITS (PDF 26Kb)
DATE COPY MADE Click on select to choose the date the reproduced copyright material was made. A calender will pop up indicating the current date (day is in red). The day and month can be changed by toggling through the calender.
NUMBER OF COPIES MADE Enter the number of copies made available online of the work.
NUMBER OF PAGES/WORDS COPIED Enter the number of pages (hardcopy) or words (electronic) reproduced - for "Audio-Visual" works enter "0".
Audience
MATERIAL COPIED FOR Select one.
INTENDED AUDIENCE Select "GENERAL" if material is intended to be available generally or "SPECIFIC" if material is intended to be read by a specific group or class of staff or students.
AUDIENCE NUMBER Enter the number of students and/or staff who were intended to read the material if "SPECIFIC" selected in the "INTENDED AUDIENCE" field.
Teaching Area  
SUBJECT CODE Select the subject code or enter details if applicable. The subject code select list will increase as more subject codes are entered.
SUBJECT NAME Enter name of subject if applicable.
FACULTY Select one if applicable.
SCHOOL Select one if applicable.
Non-Teaching Area  
ADMINISTRATIVE UNIT Select one if applicable.
DEPARTMENT Enter details if applicable.
COMMENTS Enter any additional comments relating to the copied work that is being communicated (made available online).
