1. Applying to Graduate

  • I have just finished my course and would like to Graduate. What do I need to do?

Please ensure that your student email account is active and that your postal address is up to date. Check Student On-Line http://www.latrobe.edu.au/acadserv/current/studentonline.html or contact the student centre via email to update your details.

Students who are eligible to graduate will be contacted by the Graduations Office.

A Graduation information pack including the ‘Conferring of an Award’ Application form will be posted to your official correspondence address.

You can either attend and graduate at a ceremony, or, graduate ‘in absentia’.

 

  • I do not want to attend a ceremony, do I need to return my Conferring of an Award Application form?

Yes. In order to receive your testamur (degree certificate) promptly you must tick the ‘Graduate in absentia’ box and return the signed ‘Conferring of an Award’ Application form.

Your degree will be conferred ‘in absentia’ at the allocated ceremony. Your testamur will then be printed and posted to you, or made available for collection.

If you fail to return the form you will still graduate ‘in absentia’, but your testamur will not be printed until you contact the graduations office

 

  • Can I change my graduation ceremony date/time?

If the date and time of your ceremony is unsuitable, please make a note on your Conferring of an Award Application form in section 9 - Ceremony Alteration, or contact the graduations office.

Changes will only be made providing there is availability in the ceremony you are transferring to.

 

  • I haven’t received my Graduation Pack, what should I do?

Please contact the graduations office immediately. In your email please include the reason for your email, your student ID number, your full name and your current postal address.

The Graduations Office will contact you to discuss your options.

 

  • I have missed the deadline to return my application form nad i want to attend the ceremony, what should I do?

Please contact the graduations office immediately to discuss your options.
The Graduations Office can not guarantee a place in a ceremony if you fail to return your form by the due date.

 

  • My name is not printed correctly, what do I do?

Make any amendments to your name on the application form in the space provided and attach a copy of certified documentation e.g. drivers licence, passport, birth certificate etc. which clearly shows how your name should be printed.
Note: your studnet record can not be changed without documentation.

 

  • My Majors/Qualifications/Thesis Title are incorrect, what should I do?

You will need to contact your school/faculty administration office and/or Research Services (PhD Candidates) and ask for this to be corrected.
The Graduations Office is not able to amend this information.

 

  • I have received two application forms for two degrees with different ceremony dates. What are my options?

You can either attend one ceremony, receiving both testamurs at once or, you can attend both ceremonies separately.
You will need to submit both application forms together clearly explaining what you intend to do.

 

  • I’m just about to send my application form, but I’m not sure if it will arrive before the dead line. What should I do?

Please contact the graduations office to discuss your options.
You may be able fax your application form to (+613) 9479 1994 or scan a copy and email to graduations@latrobe.edu.au

If you choose to email or fax your form, please do not post as well.
Multiple submissions of your application form may result in the graduation fee being charged twice.

 

  • How will I know if my application form has been received?

An acknowledgment email will be sent to your LA TROBE STUDENT EMAIL ACCOUNT  when your form has been processed.

It is important that your student email account remains active. To re-activate your email account contact the student centre.

 

  • I am an international student returning home and will not be able to attend the ceremony. Can I collect my testamur before the ceremony?

No. All degrees are conferred at the graduation ceremony. Your testamur will not be made available until after your ceremony.

Graduates with an overseas postal address will be sent their testamur via international courier.

2. Graduation Fee

  • What does the Graduation fee cover?

The graduation fee covers the hire of academic dress, post ceremony refreshments and administrative costs.

  

  • When do I need to pay the graduation fee by?

You must pay the graduation fee prior to registering to receive academic dress on the day of the ceremony.

Note: students that have not paid the fee are not permitted to graduate.

  

  • I am not attending the ceremony, do I still need to pay the graduation fee?

No, there is no charge to graduate ‘in absentia’ however all debts to the University (including library fines, tuition fess etc) must be cleared before you can graduate.

 

  • Do I need to pay the graduation fee if I am deferring my graduation?

No. You do not need to pay until you choose to attend a ceremony.

 

  • I indicated that I would like to attend the ceremony, and paid the graduation fee. I am now unable to attend, can I get my money back?

Please submit your request in writing to graduations@latrobe.edu.au

Your fee will be refunded approximately six weeks after your allocated ceremony.

3. Deferring your Graduation

  • I’m continuing on with honours. Do I still need to return the Conferring of an Award Application Form?

Yes, please return the application form and tick the ‘defer for honours’ box.

 

  • How many times can I defer my graduation?

You can defer your graduation as many times as you like, however you will not be eligible to receive your testamur until you graduate.

4. Guest Tickets

  • How many guest tickets do I get?

Each graduand is guaranteed 2 guest tickets only. All guests require a ticket.
Additional tickets can be requested on the application form however, additional tickets are subject to seat availability and are not guaranteed. 
Note: Any child that requires a seat will also require a ticket.

 

  • How many extra guest tickets can I apply for?

You can apply for as many extra tickets as you wish, but the graduations office can only guarantee that you will receive 2 tickets.
To avoid disappointment please do not request an excessive number of tickets.

 

  • Can I purchase extra tickets if I haven’t received what I requested?

Unfortunately tickets are not for sale. Ticketing is restricted due to the number of people that can be safely accommodated at the graduation venue.

 

  • When and how will I receive my guest tickets?

Allocated guest tickets and ceremony information will be posted to you approximately ten days prior to the ceremony.

 

  • I am travelling from overseas to attend a graduation ceremony in Australia. How do I get my tickets?

Graduands with an overseas correspondence address will be emailed ticket and ceremony information.
Allocated tickets will be available for collection from the Gowning Room on the day of the ceremony.

 

  • Are seats numbered/reserved?

Seating is reserved for graduands only. The remaining seats are available to guests on a first come – first serve basis. It is recommended that guests arrive promptly to secure the best seating options.

5. Parking

  • Where can I park on the day of my ceremony?

Bundoora: Car Park 3 has been made available for graduands and their guests. If you are unable to find a park, you can use Car Park 2.

Midura, Shepparton: Street parking - check signs

 

  • Do guests and graduands need to pay for parking on the day of the ceremony?

Bundoora, Bendigo, Albury-Wodonga: Parking is free on ceremony days.

  • I have a guest who is in a wheelchair, is there somewhere closer to the venue they can be dropped off?           

Please contact the graduations office to make arrangements.

6. Academic Regalia

  • I would like to purchase my academic dress. How can I do this?

  • I would like to match my clothing to my academic regalia.

  • What should I wear under my academic gown?

Your clothing under your academic gown will be visible mostly from the front. Most graduands dress in smart casual or semi-formal dress. 

 

  • When do I collect my academic regalia?

Your academic regalia can be collected on the day of your ceremony from the Gowning Room/Area at the venue.

7. Photography

  • Will there be professional photographers available on the day of my graduation ceremony?

Yes. Professional photographer services are available on the day of your ceremony.

 

  • Can you pre-book appointments with photographers for the day of the ceremony?

No, you can not pre-book appointments for the day of your ceremony.  Experience has shown that most people wish to have their photographs taken after the ceremony resulting in long queues at all photographers. For your own convenience you are urged to have your photographs taken before the ceremony.
